1. Who We Are

Ortho Tech Lab is a trading name of ORTHODONTIA L.L.C-FZ (“Orthodontia”, “we”, “us”, “our”), a company registered in Dubai, United Arab Emirates. Orthodontia is the data controller for personal data collected through orthotechlab.ae (the “Site”).

2. Scope

This policy explains what personal data we collect through the Site, why we collect it, how we use and protect it, and what rights you have. It applies to visitors to the Site and to registered dental and orthodontic professionals who place orders with us (“Doctors”).

3. Data We Collect

3.1 Account data. When you register, we collect your first and last name, clinic or practice name, email address, phone number, country, city, shipping address, and a password (stored in encrypted form).

3.2 Order data. When you submit a case, we collect the appliance specifications you select, your case reference, any notes you add, the digital files you upload (such as intraoral scans, STL files and clinical photographs), delivery details and order history.

3.3 Payment data. Payments are processed by our third-party payment provider. We do not receive or store full card numbers. We receive confirmation of payment, the amount and a transaction reference.

3.4 Communications. Emails, messages and support requests you send us, and our replies.

3.5 Technical data. IP address, browser type, device type, operating system, pages viewed, referring page and timestamps, collected automatically through server logs and cookies.

4. Patient Information

Case submissions may include clinical files relating to a patient.

• We ask Doctors to identify cases by a case reference and not to submit a patient’s full name or other identifying details unless strictly necessary.
• Where patient data is submitted, the Doctor remains responsible for obtaining all consents required under the laws applicable to their practice.
• We process patient data solely to design, manufacture, deliver and support the ordered appliance, and to meet our quality-assurance and record-keeping obligations. We do not use it for marketing and do not sell it.

5. Why We Use Your Data

We rely on the performance of our contract with you, our legitimate business interests, your consent where required, and compliance with legal obligations.

6. Marketing

We may send you service messages about your account and orders. These are not marketing and you cannot opt out of them while you hold an account.

Any marketing email will include an unsubscribe link. You can opt out at any time by using that link or emailing orders@orthotechlab.ae.

7. Sharing Your Data

We share personal data only where necessary, with:

• Payment providers, to process your payment
• Shipping and courier companies, to deliver your order, including customs paperwork
• Hosting and IT providers, who store and maintain the Site and its data
• Email and communication providers, to send transactional email
• Professional advisers, such as accountants and lawyers, where needed
• Authorities and regulators, where required by law

We do not sell your personal data or share it with advertisers.

Some of these providers operate outside the United Arab Emirates. Where data is transferred abroad, we take reasonable steps to ensure it remains protected to a standard comparable to that required under UAE law.

8. Cookies

The Site uses cookies and similar technologies to:

• Keep you logged in and maintain your session
• Remember your preferences
• Measure traffic and how the Site is used
• Keep the Site secure

You can block or delete cookies in your browser settings. Blocking essential cookies will prevent you from logging in or placing orders.

9. How Long We Keep Data

• Account data: for as long as your account is active, and up to [X] years after closure
• Order and case records, including clinical files: up to [X] years from delivery, for warranty, remake, quality-assurance and regulatory purposes
• Financial records and invoices: as required by UAE tax law, currently a minimum of five years
• Technical logs: typically up to 12 months

We delete or anonymise data once it is no longer needed for these purposes.

10. Security

We apply reasonable technical and organisational measures to protect your data, including encrypted connections (SSL/TLS), password hashing, restricted staff access, and access controls on case files.

No system is completely secure. You are responsible for keeping your login credentials confidential and for notifying us promptly if you believe your account has been accessed without authorisation.

11. Your Rights

Subject to UAE law, you may:

• Request a copy of the personal data we hold about you
• Ask us to correct inaccurate or incomplete data
• Ask us to delete data we no longer have a lawful reason to keep
• Object to or ask us to restrict certain processing
• Withdraw consent where processing is based on consent
• Request your data in a portable format

To make a request, email orders@orthotechlab.ae. We may need to verify your identity, and will respond within a reasonable period.

Note that we may be unable to delete records we are legally required to retain, such as invoices and manufacturing records.

Requests relating to a patient’s data should come through the treating clinician, who holds the direct relationship with that patient.

12. Third-Party Links

The Site may link to other websites. We are not responsible for their content or their privacy practices. Read their policies before providing any information.

13. Children

The Site is intended for dental and orthodontic professionals. It is not directed at children, and we do not knowingly collect personal data directly from children through the Site.

14. Changes to This Policy

We may update this policy from time to time. The current version is always published on the Site with the date it was last updated. Material changes will be notified to registered Doctors by email.
